Position Summary:

Responsible for establishing United Dynamics’ professional first impression, monitoring key employee engagement programs, event planning, administrative office management duties, maintaining critical checklists and phone rosters. Adhere to all company procedures, core values and policies.

Requires a willingness to work outside of normal business hours to meet deadlines, if necessary.

Must be able to communicate in the English Language.

Responsibilities:

  • Create appropriate United Dynamics’ first impression:

  • Organize and maintain the Front Office/Lobby Area
  • Provide general support to Visitors (e.g., Schedule, Notes, Gifts, Travel)
  • Maintain visitor/employee badges
  • Assist HR in welcoming Interviewees or New Employees
  • Liaise with External Suppliers such as Facility Management Vendors, Cleaning, Catering, and Security Services
  • Professionally answer, screen, and forward incoming calls
  • Assist with maintaining professional Company websites and LinkedIn Account

  • Assist and support the Accounting department:

  • Assist in processing vendor invoices
  • Assist in processing accounts receivable, including proforma invoices
  • Prepare basic Excel spreadsheets
  • Prepare various schedules/reports
  • Assist with inventory cycle counts

  • Monitor, analyze (priority/urgency), and coordinate company employee submissions for:

  • Facilities Maintenance/Help Desk
  • IT Help Desk
  • Suggestion inputs

  • Schedule/Attend Key Events:

  • Plan Key Executive meetings and appointments
  • Assist with planning and preparation for in-house or off-site activities (e.g., parties, celebrations, and conferences)
  • Prepare conference rooms for key events
  • Perform office duties to support the Executive Council, Managers, Accounting, and Human Resources
  • Collect/distribute mail daily and perform other mailing duties
  • Assist with functional errands
  • Minor shopping
  • Assist with physical inventories (as requested)
  • Prepare travel arrangements for personnel
  • Other duties as assigned

Job Requirements :

Education and training:

High School Diploma or equivalent

Accounting education/experience

Technical Requirements :

  • Knowledge of administrative and clerical procedures and systems, managing files and records, and accounting operating system
  • Knowledge of operating office machines, such as a copier, fax, postage machine
  • Work independently with minimal guidance using good time management, planning, organization, and decision-making skills
  • Proficient in understanding and utilizing mathematics and formulas
  • Strong Communication skills, both verbal and written
  • Attention to detail with accuracy and the ability to multitask
  • Ability to deal with tight timelines
