Position Summary

The Accounts Payable Specialist is responsible for processing and reviewing all vendor invoices, check requests, and staff reimbursements for appropriate approvals and ensures that payments are made accurately and timely in accordance with Finance policies and procedures.

ESSENTIAL JOB FUNCTIONS/Responsibilities

  1. Responsible for high volume and full cycle accounts payable, including matching PO to vendor invoices, non-PO invoices, staff reimbursements, and check requests, obtaining approval of vendor invoices, coding, entering invoices, researching discrepancies, and ensuring that payments are made accurately and timely in accordance with approval matrix and established organization policies and procedures.
  2. Assist A/P Supervisor with monitoring corporate credit card accounts and reviews supporting documents for charges and compliance with Travel and Expense Policy.
  3. Prepare and process accounts payable checks and reconcile payments as required.
  4. Maintain all accounts payable files and storage.
  5. Manage vendor relationships (external and internal customers) and resolve billing issues.
  6. Obtain W-9 from appropriate vendors and prepare IRS form 1099's at year end.
  7. Assist in month end closings, as required.
  8. Follow and support all operational policies and procedures. Assimilate into the arts center culture through understanding, supporting, and demonstrating the core values.
  9. Maintain a professional and friendly relationship with other departments, colleagues, and partners.
  10. Able to remain calm under pressure. Ability to work effectively with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy. Maintain Dr. Phillips Center standards of customer service at all times.
  11. Able to effectively communicate in English in both written and oral forms.
  12. Other duties as assigned.

Knowledge and Experience

  1. Associates degree in finance /Accounting preferred.
  2. 2+ years of relevant Accounts Payable experience.
  3. Knowledgeable and thorough understanding of the Accounts Payable cycle.
  4. Effective communication (both written and verbal) and interpersonal skills.
  5. Experience with Microsoft Dynamics Great Plains - accounts payable and analytics modules is preferred.
  6. Experienced in Microsoft Office skills including Excel and Word. Must be able to complete moderately complex mathematical functions.
  7. Self-starter that takes initiative and is solution-oriented.
  8. Ability to meet deadlines and stay organized in a fast-paced environment.
  9. Strong attention to detail and excellent organizational skills.
  10. Experience working in a team-oriented environment.

  1. This position requires the ability to work a variable schedule, evenings, weekends, and holidays to meet operational needs.
