The Administrative Assistant will provide high-quality, professional and comprehensive administrative support in partnership to the Administration team to ensure seamless operations. The Administrative Assistant will be highly organized and adept at heavy calendar scheduling and management, has strong communication and organizational skills, can prioritize, perform multiple tasks, anticipate needs and demonstrate initiative in a fast-paced, team-oriented environment.

Position Responsibilities

  • Coordinate and maintain multiple calendars for scheduling meetings and appointments including reserving conference room(s), ordering refreshments, and equipment set up as needed.

  • Assist with office tasks such as filing, copying, distribution of mail, and ordering and maintaining office supplies and equipment.

  • Manage daily administrative tasks such as answer and screen phone calls, generate and process purchase orders, check requests, invoices and expense vouchers. Create IT requests for new and current account users, telephone and computer equipment as needed

  • Operate and troubleshoot general office equipment, including printers, copier/scanner/fax machine

  • The above covers the most significant responsibilities of the position. It does not, however, exclude other duties, which would be in conformity with the level of the position. Completes special projects as assigned

Qualifications

  • High School diploma or equivalent is required; an Associate's degree in Business Administration or related field is desired

  • 1-3 years of Administrative Assistant experience required

  • Must be team-oriented, professional, proactive, collaborative, conscientious and results-oriented individual.

  • Must have an optimistic and positive demeanor, excellent oral and written communication skills, good intuition and able to adapt to changing priorities and display good, sound judgment with a sense of humor.

  • Exceptional calendar management and organizational skills with a high degree of attention to detail.

  • Aptitude for learning new software and systems, and flexible to change.

  • Demonstrated computer proficiency and experience with office management software and equipment (MS Office (Outlook), Word, Excel, PowerPoint; Google Workspace, etc.)

$52,963.00 - $79,445.00
