Job Summary

The position is responsible for providing overall administrative coordination of day?to?day operational and administrative activities for the Division of Palliative Medicine and executive assistance to the Division Chief. Key responsibilities include serving as a central point of contact for faculty and staff on operational matters, managing IT/facilities tickets, ordering supplies, submitting purchase orders and expense reports, supporting finance and HR tasks such as invoice tracking and cost transfers, onboarding new hires, creating surveys, generating reports, and analyzing data. The role also contributes to Division and team meetings, creates agendas and minutes, supports special projects that improve employee engagement, and provides high?level project and administrative support to the Division Chief, managing a complex calendar.

The Administrative Coordinator may also be involved in program?specific projects led by faculty or program directors in areas of research, clinical operations, and education. Additional duties may include supporting Division communications such as social media, Wiki, and website updates.

Key Responsibilities


  • Overall administrative coordination of day?to?day operational and administrative activities across the Division.
  • Executive assistance to the Division Chief, managing a complex calendar and shifting priorities.
  • Coordinate and support operational matters for faculty and staff, including IT/facilities tickets, supply ordering, purchase orders, expense reports, invoice and payment tracking, cost transfers, and financial reconciliation.
  • Support onboarding of new hires, create surveys, generate and analyze reports.
  • Create meeting agendas and minutes for Division and team meetings.
  • Support special projects that advance employee engagement and the Divisions mission.
  • Provide administrative support to the inpatient consult service and interdisciplinary team.
  • Manage Division meetings and special events, including calendar activity, meeting materials and logistics.
  • Maintain Division communication resources and assist in marketing tasks such as social media and website updates.

The ideal candidate will be customer?service?mindful, organized, and professional, able to work as a reliable, flexible team member in a shifting?priority environment. Required qualifications include:

  • Bachelors degree in a related field or equivalent experience.
  • Minimum 1+ year of directly relevant experience.
  • Sound judgment in responding to issues and concerns.
  • Strong communication and interpersonal skills, both verbal and written.
  • Excellent organizational skills and ability to multi?task with demanding timeframes.
  • Working knowledge of common organization?specific and other computer application programs.
  • Ability to exercise discretion and maintain confidentiality.
