Job Description

A leading investment firm based in Midtown Manhattan, NY is seeking a highly skilled and experienced Executive Assistant to support a dynamic team of professionals ranging from junior associates to senior leadership. The ideal candidate will have at least 8 years of administrative experience within the Private Equity, Venture Capital, Hedge Fund, or Mergers and Acquisitions sectors.

This is an exciting opportunity to join a fast-paced, team-oriented environment where you will play a critical role in ensuring smooth operations and providing top-tier support to the team.

Key Responsibilities:

  • Complex Calendar Management: Schedule and manage meetings across multiple time zones, ensuring seamless coordination with internal teams and external stakeholders.
  • Travel Coordination: Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
  • Expense Management: Prepare and process expense reports accurately and in a timely manner.
  • Administrative Support: Assist with document preparation, meeting materials, correspondence, and ad hoc administrative duties as needed.
  • Team Collaboration: Act as a liaison between team members, ensuring effective communication and alignment across varying seniority levels.
  • Office Presence: Maintain a professional and proactive presence in the office four days per week, with the flexibility to work from home on Fridays.

Qualifications:

  • 8+ years of executive administrative experience supporting teams in Private Equity, Venture Capital, Hedge Funds, or Mergers & Acquisitions.
  • Proven ability to handle complex calendars and manage frequent, last-minute changes with grace and efficiency.
  • Experience coordinating global travel and preparing detailed itineraries.
  • Strong organizational skills with a keen eye for detail and a proactive approach to problem-solving.
  • Exceptional communication and interpersonal skills, with the ability to build relationships at all levels.
  • Comfortable working in a fast-paced environment while balancing multiple priorities.
  • Team-oriented mindset with the ability to work independently when needed.

Work Schedule:

  • Onsite: Monday to Thursday
  • Remote: Work from home on Fridays.

Salary: $120,000 + bonus and benefits
