Location: Totowa, NJ

Schedule: Monday - Friday, 8am – 5pm EST

Position Overview:

We are seeking a proactive and detail-oriented Office Assistant to join our Customer Service Team. In this role, you will play a vital part in supporting our Customer Service Representatives (CSRs) and ensuring the smooth operation of our office. The successful candidate will be responsible for various administrative tasks, providing essential assistance to our team, and contributing to our mission of delivering exceptional natural flavor and fragrance ingredients.

Responsibilities:

  • Filing Invoices: Organize and maintain physical and electronic filing systems for invoices and other relevant documents to ensure efficient record-keeping.
  • Scanning Invoices: Digitize invoices and other documents accurately for easy access and retrieval.
  • Entering Pricing into Customer Accounts: Input pricing information into customer accounts with precision to facilitate accurate billing processes.
  • Order Entry / Sample Entry: Assist with order entry and sample entry tasks as needed to support the Customer Service Team and ensure timely processing.
  • CSR Backup Training and Coverage: Receive training to provide backup support for CSRs during their absences due to illness or vacation. Provide coverage to maintain continuity in customer service operations.

Requirements:

  • High school diploma or equivalent qualification.
  • Previous experience in an administrative or office support role preferred.
  • Strong attention to detail and organizational skills.
  • Proficiency in basic computer applications, including Microsoft Office suite.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Willingness to undergo training for backup coverage of CSR duties.
  • Bilingual in English and Spanish is preferred but not required.
