Reports to: On-Site Property Manager   or Regional Property Manager

Overview:  

The Assistant On-Site Property Manager plays a vital role in supporting the day-to-day operations of a residential property, ensuring an outstanding experience for tenants while maximizing the property’s value. This position assists with tenant relations, rent collection, lease administration, and property upkeep, working closely with the On-Site Property Manager or Regional Property Manager to meet the goals of property ownership.

You’ll be the go-to resource for residents, helping with move-ins, resolving concerns, coordinating maintenance, and keeping operations running smoothly. This is a dynamic role that requires strong communication skills, attention to detail, and the ability to balance multiple responsibilities.

Primary Responsibilities:  

Tenant Relations & Leasing

· Process and screen rental applications, ensuring accuracy and compliance.

· Prepare and generate new leases while maintaining proper documentation in Yardi/RentCafe CRM.

· Inspect and prepare units for future move-ins, ensuring keys, welcome materials, and details are in order.

· Coordinate resident move-ins, ensuring a seamless experience.

· Communicate with residents regarding renewals, complaints, move-outs, and collections.

· Enforce lease agreements, including managing evictions when necessary.

· Update tenant records, lease changes, and buyouts in Yardi/RentCafe CRM.

· Assist in planning resident events, newsletters, and community updates.

· Collaborate with Bookkeeper and Property Manager to resolve billing and ledger issues.

Facilities & Maintenance Support

· Regularly inspect the property to ensure it meets operational standards.

· Work with maintenance teams to prioritize and resolve service requests quickly.

· Assist in obtaining bids from vendors and contractors for property improvements.

· Help coordinate annual property maintenance and special projects.

Owner & Property Management Support

· Participate in owner calls and meetings, providing updated on vacancies, tenant matters, and property conditions.

· Maintain communication with the On-Site Property Manager to ensure transparency on operational and financial issues.

· Ensure compliance with management agreements and utility company contracts.

Collaboration & Growth

· Network with leasing agents and team members to improve efficiency and knowledge.

· Stay up to date on company policies, industry trends, and best practices.

 

Qualifications:   

· Leasing license (or willingness to obtain within 90 days).

· Property management or real estate experience preferred.

· Strong customer service, organization, and communication skills.

· Ability to work independently, manage multiple priorities, and solve problems proactively.

· Proficiency in Microsoft Office (Excel, Work, Outlook) and willingness to learn Yardi.

· Familiarity with leasing, tenant relations, financial reporting, and basic building maintenance.

· Availability to check emails on weekends and handle emergency situations as needed.

 

Availability and Work Hours:  

· Standard business hours with occasional availability for after-hours emergencies.

· Ability to check emails and respond to urgent matters on weekends if necessary.

 

Physical Requirements:  

· Requires the ability to move within difficult conditions and different areas of properties; stand, sit, walk up/down stairs at times, etc.

· Occasional lifting of up to 50lbs for maintenance-related tasks.

· Ability to use a key-cutting machine.
