Position Summary

We are seeking a proactive, compassionate, and highly organized Patient Care Coordinator to join our Aesthetx team and support our patients throughout their surgical journey with us! This position will be delivering white-glove, high-touch, concierge-level experience to our patients from their initial inquiry to post-operative care. The Patient Care Associate will act as the primary point of contact for patients while guiding them through consultations, procedures, and all administrative steps to ensure they feel informed and confident in their care. This position follows a hybrid schedule, with time split between our Menlo Park and Campbell locations.

Salary Range: $81,350 to $99,200+

Responsibilities:

  • Manage and respond to incoming patient inquiries in a timely and professional manner to support a positive patient experience.
  • Coordinate all consultations, surgeries, pre-operative, and post-operative appointments.
  • Provide detailed information and compassionate support to patients regarding procedures and surgical processes.
  • Manage aspects of surgery scheduling including coordinating with the surgery center, anesthesia team, and medical staff.
  • Educate patients on recommended products that enhance surgical outcomes and support their post-operative care.
  • Assist in converting consultations into booked surgeries by serving as a knowledgeable and trusted advisor to patients.
  • Credential surgeons on their differentiated skillset, identify the right surgeon based on the patient needs and support handoff of patient to other coordinators
  • Monitor the status of all patients in the surgical funnel through HubSpot; maintain communication cadence and timely follow-ups.
  • Deliver a white-glove, patient-centered experience throughout the full care journey.
  • Effectively communicate surgeon qualifications to ensure patients feel confident and secure in their provider.
  • Sit in on consultations to provide pricing, explain procedures, and assist with decision-making.
  • Manage all logistics related to surgery scheduling and communication among staff, including last-minute changes and updates.
  • Execute any other tasks necessary to ensure a smooth and supportive experience for patients from initial contact through recovery.

 

Education And Qualifications:

1-3 years of experience as a Patient Care Coordinator, Customer Experience Manager, Sales Specialist, Front Office Manager, or Sales Associate

Excellent written and verbal communication skills

Knowledge in MS Office software

High level of professionalism

Understanding and interest in plastic surgery, aesthetics, or medical practices

Excellent team player and strong attention to detail

Ability to handle confidential information with discretion

Customer service experience and ability to connect with people easily

Demonstrated ability to prioritize tasks and manage time in a fast-paced environment

Self-starter with an entrepreneurial spirit and willingness to take initiative on new projects

Sales experience a plus
