This is the sixth level in a six-level Program Administration classification series devoted to administering an assigned program area, which includes supervising professional and/or paraprofessional-level staff.

Essential Functions

  • Supervises and administers an assigned program and program staff.
  • Schedules, reviews, and verifies work for accuracy.
  • Addresses and resolves escalated issues.
  • Participates in program goal setting and development of objectives.
  • Performs the more senior-level professional and analytical work of the program.
  • Develops operating policies and procedures; provides consulting and advice on interpretation and implementation.
  • Prepares complex reports, presentations, and documents.
  • Researches and analyzes data and prepares projections and trends.
  • Maintains complex records, statistics, and database information.
  • Ensures compliance with applicable statutes and regulations pertaining to records management.
  • Provides professional advice and consultation in the area of subject-matter expertise.
  • Provides training to City staff, as assigned.
  • Performs related work as assigned.
POSITION SPECIFIC DUTIES
  • Oversees the daily operations of Police Department records; monitors unit activity and ensures timely processing of requests.
  • Assists in developing and disseminating policies and procedures for areas of responsibility.
  • Coordinates and oversees the gathering of records for department public records requests, discovery, and information requests for prosecutors.
  • Coordinates department usage of the records management system, including user access, training, software upgrades, and installation.
  • Ensures that reports are accurate, complete, and correctly assigned to the records management system.
  • Ensures proper notification of subpoenas.
  • Manages workflow and communication with law enforcement partners, judicial stakeholders, and courts.

Minimum Qualifications
Education and Experience:


Bachelor's degree in a field directly related to assignment and 5 years of related experience or an equivalent combination of directly related education and experience.

Certifications/Licenses:
  • Based on assignment. Arizona Class D Driver's License.
  • Police Department assignments. Terminal Operator Certificate, Level B, within the timeframe established by the Police Chief.
CONTINUING EMPLOYMENT REQUIREMENTS
  • Maintain all certifications/licenses required at job entry and within the specified timeframe.
