Program Support & Coordination
Tasks may include:
· Data entry of transactions and supporting documentation in a timely manner and within established quality metrics
· Downloading and verifying data from online tool
· Fielding and logging telephone calls from customers, contractors, and other program participants
· Support the training of the participating distributors, customers, and contractors
· Creating and maintaining electronic forms and spreadsheets
· Project management support
· Database management
· Assisting with receptionist duties as necessary, including greeting visitors, receiving packages, managing mail, ordering, and placing replacement kitchen items
· Manage the email Inbox daily
o Read and respond to incoming email
o Compose outgoing email communication
o Organize all email communication
· Project follow ups
o Project Coordinator may follow up with project contacts on a regular basis to verify transactions, amounts, and other information
o Will have to use critical thinking skills to interact and follow up with customers
o Strong organizational skills
o Perform tasks timely and effectively
o Follow up on missing items in a timely manner
· Other PC responsibilities
o Answer phones and be able to troubleshoot incoming calls
o Use PM tools to log voicemails and follow up to ensure tasks are done
o Cover for other team members when they are absent (they will do the same for you)
· Processes
o Follow all processes as trained and directed
o Document all processes in Desktop Work Instructions and Job Aids
o Identify gaps in processes and fill them and notify Lead of activities (ie. continuous improvement)
· Communication
o Communicate mutual understanding
o Clarify Scope, Schedule, Time for delegated tasks
o Respond to email in a timely manner
o Use all systems effectively; Teams, Sharepoint, Outlook, Monday.com, eTrack, Salesforce, DocuSign, etc.
· Any other tasks as requested; this position is a team player and a hub of the office
Qualifications:
·At least five years’ experience in administrative services.
·A four-year degree is preferred
·Previous experience with energy efficiency or rebate programs, and renewable energy a plus
·Excellent communication (both verbal and written), customer service /phone, organization, and grammar skills are essential.
·Intermediate+ level in MS Word, Excel, PowerPoint, and Access is required
