HealthPath Medical & Psychiatric Care is a patient-centered outpatient psychiatric practice operating as a Licensed Behavioral Health Clinic (LBHC). We are committed to providing high-quality care with compassionate service, strong clinical support systems, and operational excellence.

We are seeking an experienced Director of Operationsto oversee day-to-day clinic operations. The ideal candidate has direct experience in LBHC operations and in the operations of an outpatient psychiatric practice, and can lead administrative systems, staff performance, compliance readiness, and revenue cycle workflows.

The Director of Operations will ensure smooth daily operations across scheduling, intake, front office workflows, patient communication, billing coordination, and compliance support. This is a key leadership role partnering closely with practice leadership and clinical teams to create efficient systems, improve performance metrics, and support growth.

Key Responsibilities

Clinic Operations & Workflow Management

  • Manage daily clinic operations (front desk, scheduling, intake, referrals, patient communications).
  • Develop and maintain standard operating procedures (SOPs) and ensure consistent execution.
  • Optimize workflows to improve patient access, reduce no-shows, and improve visit flow.

LBHC Operations & Compliance Support

  • Oversee operational processes that support LBHC compliance, documentation standards, and audit readiness.
  • Coordinate staff training on clinic procedures, privacy standards, and compliance-related workflows.
  • Maintain ongoing readiness for payer reviews, credentialing needs, and regulatory requirements.

Revenue Cycle & Billing Coordination

  • Oversee key revenue cycle functions: eligibility verification, authorizations, claims workflow coordination, denials tracking, and patient balances.
  • Work closely with billing staff/vendors to ensure accurate claims submission and timely collections.
  • Monitor KPIs such as schedule utilization, no-show rate, claims/denials trends, and AR performance.

Staff Leadership & Team Development

  • Supervise administrative staff (intake/scheduling, front desk, billing support/coordination).
  • Hire, onboard, train, coach, and evaluate performance with clear accountability.
  • Promote a service-oriented culture focused on teamwork, professionalism, and patient experience.

Systems & Vendor Management

  • Coordinate with vendors/IT to troubleshoot issues, improve workflows, and implement enhancements.
  • Maintain accurate reporting and operational dashboards for leadership review.

Patient Experience & Service Recovery

  • Ensure high-quality patient communication and follow-through.
  • Handle operational escalations and patient concerns promptly and professionally.

Operations Projects & Growth Support

  • Support growth initiatives such as new services, expanded hours, staffing changes, and operational improvements.
  • Lead special projects to strengthen efficiency, compliance, and patient outcomes.

Required Qualifications

  • Experience managing operations in an outpatient psychiatric practice.
  • Demonstrated knowledge of behavioral health workflows, compliance standards, and payer/authorization processes.
  • Proven ability to lead and manage administrative teams (hiring, training, accountability).
  • Strong proficiency with EHR/practice management systems and operational reporting.
  • Excellent organizational, communication, and problem-solving skills.

Preferred Qualifications

  • Experience managing operations in a Licensed Behavioral Health Clinic (LBHC)
  • Experience in multi-provider psychiatric settings (psychiatry + therapy).
  • Experience supporting audits, payer site visits, and credentialing processes.
  • Strong process-improvement mindset and ability to build scalable systems.
